Sales Assistant & Executive Assistant to Management (m/f/d)

Your Responsibilities

  • First point of contact for the Managing Partner and COO/CFO
  • Supporting the sales department
  • Customer analysis
  • Preparation and follow-up of customer meetings
  • Creation of handouts and presentation folders
    Sending invitations via Outlook
    Preparing meeting minutes
    Creating customer-specific presentations
    Preparing short target briefs prior to business trips
  • Managing and maintaining customer data in the CRM system and supporting data analysis and processing
  • Preparing sales statistics and reports to support sales management
  • Supporting written and telephone communication with customers, suppliers, and internal teams
  • Planning and coordinating sales events and trade fair appearances
  • Providing input and coordinating marketing and social media activities
  • Proactive support in planning and coordinating daily business as well as strategic projects
  • Organizing and preparing internal and external meetings, including minute-taking
  • Coordinating and forwarding internal and external inquiries, including communication on behalf of management
  • Drafting, editing, and managing written correspondence, including emails, letters, and reports
  • Organizing business trips
  • Handling and safeguarding sensitive data and documents
  • Preparing regular reports and evaluations on business figures, target achievement, and company strategies to support management in decision-making
  • Planning and organizing internal and external events such as company events, conferences, or workshops

Your Profile

    At least a bachelor’s degree or equivalent professional experience
  • Confident use of MS Office applications (PowerPoint, Teams, Word, Excel, Visio)
  • Strong organizational skills as well as a structured and reliable working style
  • Excellent communication skills and customer-oriented mindset
  • Resilience and willingness for ongoing professional development in the field
  • Strong team spirit
  • Excellent German language skills, spoken and written, plus good English skills
  • Discretion and reliability when handling confidential information
  • Ability to work under pressure and flexibility in a dynamic environment
  • Strong multitasking ability and a structured, proactive working style
  • Ideally, a Class B driver’s license
